Author Visits Terms & Conditions

Intent

As a public cultural and literary institution, Cairns Libraries welcome Author Visits by local, national and international authors. This Guideline provides a framework for Author Visit requests and approvals.

Scope

This Guideline applies to all Cairns Libraries venues and Author Visits within these venues.

Term/AbbreviationDefinition
Authorised Library OfficerAny person officially employed by Council to work for Cairns Libraries.
AuthorsIncludes but is not limited to authors, publishers, publicists.
Author TalksA presentation or talk by an author about their book/s and their writing journey.
Author VisitsIncludes but is not limited to Author Talks, Book Launches, Writing Workshops.
Book LaunchesAn event by an author to promote their recently published book.
VenuesIncludes Babinda, City, Earlville, Edmonton, Gordonvale, Manunda, Smithfield, Stratford Libraries.
Writing WorkshopsAn event that facilitates and teaches writing skills and/or knowledge of getting published.

PROVISIONS

Application

Author Visit requests must be submitted at least eight (8) weeks in advance using the Author Visit Request Form. Cairns Libraries will not consider any requests outside of this time frame.

Consideration for Approval

Approval will be assessed using, but not limited to the following criteria:

  • Published authors that are local, or nationally / internationally well-known through a major publisher.
  • Published authors whose work / topic will be of interest and benefit to the Cairns Community, Council and Cairns Libraries.
  • Availability of an appropriate venue.
  • Request for cash or in-kind support.
  • Availability of library resources including staff.
  • Number of other events being held in Cairns Libraries around the time of the  proposed visit.
  • Author visits will only be considered during Cairns Libraries opening hours (Monday to Friday).

Approval

Approval will be determined by the Coordinator Library Services or Authorised Library Officer.

Cairns Libraries, at their discretion, reserves the right to refuse any author visit and appeals will not be considered.

Payment to Authors

Cairns Libraries does not normally pay for author costs or fees. The Coordinator Library Services, at their discretion, may approve payment for special circumstances.

Venues

Not all venues have sufficient space to host Author Visits.  

Cairns Libraries will determine the most appropriate venue, and the most appropriate space within the venue to hold the author visit.  

Cairns Libraries cannot guaranteed that Authors will be able to conduct their visit at a particular venue or space within the venue.

Attendance Bookings and Numbers

Cairns Libraries does not take bookings for Author Visits and cannot guarantee a minimum number of attendees.  

Author Visits are inclusive events and open to all community members to attend and participate.

Book Sales

Sale of goods which are essential to activities at Council’s facilities such as Library Author Talks, Book Launches and Exhibitions are permitted if wholly managed by a third party.

Advertising and Promotion

Cairns Libraries will provide advertising in the form of posters and flyers, library website and library social media. Cairns Libraries, at its discretion, may also arrange a media release.  

The Placement, timing, and frequency of advertising is at the discretion of Cairns Libraries.  

Cairns Libraries reserves the right to decline posters and advertising material sent by the author.

Cancellation

Cairns Libraries reserves the right to cancel an author visit up to 24 hours prior to the event due to weather conditions or unforeseen circumstances.

Liability

Cairns Libraries assumes no liability in the event of damage, destruction, or theft of the author’s material or property.

Public Liability

All authors must comply with Workplace Health and Safety legislation and Council’s public liability standards.
